Sage 200 – Credit Control Next Action Date

Summary 

Credit control might wish to set a date that they need to follow-up on a credit control activity for a customer account.

How do I do this?

Choose a Date Field to Use: 

1.Using Sales Ledger Customer Details screen, identify a ‘spare’ date field that can be used to enter the credit control next action date: 

Sales Ledger >> Sales Accounts >> Amend Account Details > Credit tab, or 

Sales Ledger >> Customers List >> Highlight a customer account >> click Amend Account in the top shortcut bar > Credit tab 

2.Select a date field not being used for any other purpose: The available fields are A/C Opened, Last Credit Review, Next Credit Review, Application Date, and Date Received; if not already used, the obvious choice would be Next Credit Review

In this example we will choose the Next Credit Review as our credit control next action date field

3.Close the screen 

Set-up the Customer List to Show the Next Action Date

Having chosen a field to use, credit control will need to know when a next action is required; there are several ways this can be achieved; this method uses the Sales Ledger Customer List

1.Add column to the list 

Sales Ledger >> Customer List > right-click in the list to show the pop-up menu, then select Columns > Credit, and select the date field you have chosen to use (if not already selected/ticked); now the column is shown in the list view the heading can be ‘grabbed’ and moved to where you would like it to be positioned, it can be moved the be the first column in the list

2.Filter the list 

Create a filter to only show customer accounts that have a next action date set on them (the filter selection should be Where – Next Credit Review – Is Not Missing 

Now when this filter is selected only accounts with a date set are shown, the Next Credit Review column can be sorted in ascending order by clicking in the column heading

Entering or Updating the Next Action date 

The next action date can be entered or updated using: 

Sales Ledger >> Sales Accounts >> Amend Account Details > Credit tab, or 

Sales Ledger >> Customers List >> Highlight a customer account >> click Amend Account in the top shortcut bar > Credit tab 

Additional Information 

Credit Control Workspace 

Like the customer list, the sales ledger credit control workspace, customer list panel, can easily be updated to show the credit control next action date and to filter & sort on this column 

Credit Control Notes 

It is usually recommended to enter customer credit control notes using the Memo tab in Amend Account Details.(You can also use the Active and Inactive status on these notes to easily identify active memos.)

Allocate credit controllers to customer accounts 

Using sales ledger analysis codes you can allocate credit controllers to customer accounts, these can be shown on the customer list; can be added to the filter to only show accounts with a next action date for the individual credit controller, and certain reports can be run by these analysis codes
